Logistics Supervisor – Import Documentation, Procurement & Inbound Operations (FMCG)
Dubai,
United Arab Emirates
About Bagason
Bagason Middle East General Trading LLC is a Dubai-based FMCG distribution and food trading company supplying supermarkets, hypermarkets, groceries, HoReCa and e-commerce channels across the UAE and wider GCC. We manage a portfolio of international and own-label food and beverage brands through van sales, key accounts, modern trade and marketplace channels, backed by our own warehousing, cold chain and food production operations.
The role
You own everything that happens to a shipment between the supplier's purchase order and the stock being live and sellable in our Dubai warehouse. That means import documentation, customs clearance, freight coordination, purchase follow-up and the inbound receiving process — and it means the landed cost and the stock count both being right the first time.
What you'll do
- Prepare, verify and file the complete import documentation set for every consignment: commercial invoice, packing list, Bill of Lading / Airway Bill, Certificate of Origin, health and Halal certificates, and supplier declarations.
- Lodge and track customs declarations through Dubai Trade / Mirsal, manage Delivery Orders, and handle free-zone and mainland transfers (JAFZA, Jebel Ali Port, DP World terminals).
- Run food import registration and label approvals through the Dubai Municipality food import platform (FIRS), and keep product registrations, shelf-life declarations and label artwork approvals current.
- Coordinate with freight forwarders, shipping lines, clearing agents and transporters to hit ETAs and avoid demurrage and detention charges.
- Follow up open purchase orders with international suppliers — order confirmations, production status, shipping schedules, document courier, and payment documentation for LC / TT settlement.
- Supervise inbound receiving: GRN booking, quantity and batch verification, shelf-life and FEFO acceptance criteria, damage and short-shipment claims, and putaway into the correct storage locations.
- Reconcile landed cost — freight, duty, clearing and handling — into the ERP so product costing and margin are accurate.
- Maintain the shipment tracker and publish a weekly inbound status report to Sales and Procurement so the commercial team knows what lands when.
- Supervise and develop a small team of documentation and receiving staff.
What you need
- 4+ years in import documentation, customs clearance or inbound logistics, at least 2 of them in FMCG, food or consumer goods in the UAE.
- Hands-on, current Dubai Trade / Mirsal experience — you have personally submitted declarations, not just watched someone else do it.
- Working knowledge of HS code classification, duty rates, Certificates of Origin and GCC/UAE food import requirements.
- Strong Excel and hands-on ERP experience — Odoo strongly preferred.
- Precise, document-disciplined and calm when a container is sitting at the port.
- Bachelor's degree in Logistics, Supply Chain, Commerce or equivalent experience.
Nice to have
- Halal certification handling
- Cold-chain or chilled/frozen imports
- Re-export and GCC transit documentation
- UAE driving licence
